A Suggested Yearly Timeline for Club Leaders

July – During this month, it might be time to...

  • Have a summer BBQ or picnic
  • Plan a send-off party for local members of Brown’s newest class, in conjunction with your BASC leadership
  • Have a meeting of the Club’s board or steering committee to plan ahead for September and October events
  • Review the past year's expenses and work with the treasurer and your board to establish next year's budget

August

  • Look ahead to early fall events and have a board meeting to get them going
  • If you have already done so, please review the past year's expenses and work with the treasurer and your board to establish next year's budget
  • Recruit new board members to fill in vacancies as a result of members stepping down, if still needed
  • Consider, with your board, whether to apply for BAA Program Funding, and if so, for what events
  • Fill out the application arriving in early August for BAA Annual Funding from the Brown Alumni Association

September

  • Meet with your board to plan the upcoming year’s events
  • Meet with your board to plan your membership drive
  • If you have already done so, please review the past year's expenses and work with the treasurer and your board to establish next year's budget
  • Work on the annual newsletter to be mailed via snail mail, or a combination of snail mail and e-mail
  • Fill out the application for BAA Program Funding to meet the Friday, October 5 deadline
  • Participate in the first of three ’07-’08 conference calls for all club leaders

October

  • Hold your first event of the year; take advantage of this event to recruit both new Club members and new board members, for wider participation by your alumni in the leadership of the Club
  • Following the first event of the year, review your budget

November

  • Plan for a holiday party, if that is a tradition for your Club, or if you want it to become one
  • Have a board meeting to plan for events to occur in the first three months of the new year
  • Review your budget
  • Consider again if your Club wants to apply for BAA Program Funding by January deadline

December

  • Enjoy the holiday party and the whole season

January

  • Meet with your board to continue to plan the next months’ events. Will you try for a Speakers Bureau faculty event? Will you have an accepted-students’ party in April in conjunction with your BASC leaders? Will you have a summer send-off party for the new class? Are your young alumni, families, and older alumni being offered events of interest to them?
  • Review your budget
  • File the Program Funding application by January deadline for events from February 1 – May 1.

February

  • Consider whether the fit between certain key jobs (co-president, treasurer, communicator, Webmaster) and the alumni filling them is good. If not, perhaps some changes need to be made to the Club leadership line-up for maximum participation and effectiveness.
  • Review your budget
  • Participate in the second club leader conference call

March

  • Nail down the upcoming spring events: faculty event? Accepted-student event? Social or networking events?
  • Think about the Club’s leadership for the next year; whose term will be up? What positions are unfilled that you would like to fill?
  • Consider whether or not your Club will apply for the final round of BAA Program Funding in time for the April deadline.
  • Review your budget

April

May

  • Start planning any summer activities that you’ll be having. Try to finalize the club leadership for the next year.
  • Review your budget.
  • Participate in the final club leader conference call.

June

  • Pat yourself on the back for a job well done! 
  • Meet with the club leadership for next year to plan summer and fall events.
  • New club leaders may participate in a conference call geared to their needs.
  • Review the past year's budget and draft proposal for next year's budget.
